Administrator in Flow

This page is for those who manage users, teams, and reports on Flow. Here, you will find step-by-step instructions for handling user access, creating and managing projects, and adjusting report settings.

Our guide will help you use Flow in a way that makes your work easier and more organized. With the right tools and support, you can focus on driving change and improving results.

Users, teams & sections

As an administrator in Flow, you are responsible for managing users, teams, and sections to optimize access and structure within the portal.

Each level has specific roles and permissions, and you can create and adjust teams and sections to facilitate collaboration and report management.

Here, you’ll get an overview of how to efficiently manage users, assign roles, and work with teams and sections to maximize the use of the platform.

Users

There are four user levels:

  • Admin: Manages users, teams, sections, reports, and projects.
  • Management: Can be team leaders and sometimes have access to documents.
  • Leader: Added as a leader in a team (A leader can lead multiple teams).
  • Employee: Added as a member of a team (An employee can be a member of multiple teams).

It’s important to delete users who are no longer with the company. A leader can remove an employee from their team, but only an admin can permanently delete the employee.

Tip! Delete users who have left, for example, via the “Not in any team” tab. Deleted users can be restored if they are not permanently removed from the “Deleted” tab.

Teams

There are three roles in a team:

  • Leader: Has access to reports and documentation, can manage team members.
  • Employee: Can view summaries linked to the team.
  • Observer: Can also view summaries but is not part of the team.

A user can have only one role in a team but can belong to multiple teams. To add a leader to a team, the person must have the role of leader, management, or admin.

New team or change name?
If a team has changed its name from previous years and the leader and employees are mostly the same, it’s better to rename the team to preserve connections to previous data, such as results from surveys and documentation from exercises.

If the team is new and should not be linked to previous data, it’s better to create an entirely new team with new members.

Sections

Sections are a collection of teams and are used for managing statistics and projects.
A team can belong to several sections.

Reports

As an administrator, you have the ability to control both the visibility and access to different reports, depending on the roles and needs within the organization.

Create projects for follow-up and statistics

If you are using any of the documentation tools in Flow, we recommend creating projects to easily track progress and gather statistics.

Here are the tools in Flow that can be linked to a project:

  • Activate the employee survey (BPI Implement)
  • Employee dialogues
  • Implement values & behaviors (The Barometer)
  • Feedback

It’s important to review which teams should be included in the project and exclude those that shouldn’t be, to ensure accurate statistics.

You can also send reminders to teams and leaders who have not completed the project.
